WiPDaF e.V. General Terms and Conditions for Registration and Participation
Registration
Participants can register in writing (by letter or e-mail to sprachkurse@wipdaf.de) or online using the registration form found on the WiPDaF e.V. website. In addition to this, it is possible to register in person during office hours at the WiPDaF e.V. office.
Registrations are processed according to the order in which they reach us and all registrations are legally binding. If the desired course is already fully booked, the participant will be informed immediately and, if possible and desired, be placed on a waiting list.
All registration confirmations will be sent by e-mail. This e-mail constitutes a contract between WiPDaF e.V. and the participant, obliging the participant to pay the course fee in full.
Course fees and prices
All course fees are listed on the WiPDaF e.V. website and can be found under “What’s new“ and in the course lists. The fees valid at the time of registration apply; all other fees and prices are invalid. Costs for board and lodging are not included.
If the number of participants for a course does not reach the necessary minimum, WiPDaF e.V. reserves the right to offer the course for a higher fee to offset the additional costs involved. Should all participants agree, the new fee will apply and the original offer will become invalid.
Participants who register for at least three consecutive months will obtain a discount of 5% of the course fees upon receiving a confirmation from WiPDaF e.V. This discount becomes invalid if the participant cancels one or several of the courses booked.
Payment
Payment for all courses is due in full no later than two weeks before the start of the course and must either be transferred to WiPDaF e.V.‘s bank account at the Sparkasse Münsterland Ost

Money transfers from other countries may incur additional bank fees and charges. These must be paid by the participant.
If you have obtained a visa or any stay permission for our courses, course fees CANNOT be refunded while it is valid.
Cancelling a course participation
All cancellations must be communicated in writing (either by letter or by e-mail to sprachkurse@wipdaf.de).
WiPDaF e.V. charges a cancellation fee of EUR 30 if cancellation is done no later than two weeks before the beginning of the course.
If participation is cancelled later than that but still more than one day before it starts, 50 % of the course fee will be charged in addition to the cancellation fee of EUR 30.
An even later cancellation – one day before or on the day the course begins, or after it has already begun – will incur the course fee in full. The same applies if a participant leaves the course before it ends or does not attend at all or in case of justified expulsion of the participant from the course.
Any bank charges or fees incurred in the course of the cancellation process must be paid by the participant.
Course cancellation and administrative changes
WiPDaF e.V. reserves the right to change the venue, the teacher/s, and other course details; these changes do not constitute grounds for cancellation or a course fee reduction by the participant.
WiPDaF e.V. also reserves the right to cancel or postpone a course within a reasonable time frame at short notice even after a participant’s registration has been confirmed. This can happen in case of illness or if there is an insufficient number of participants for a course.
If course meetings cannot take place at the originally scheduled time for reasons caused by WiPDaF e. V. or its teaching staff, these meetings will be held at a later date. Should this be impractical or not possible, all participants will be reimbursed for those meetings that did not take place.
In case a complete course has to be rescheduled, any participant who cannot take part in the rescheduled course will be reimbursed for a full course. However, WiPDaF e. V. precludes any liability for any additional costs that may have incurred; these have to be paid by the participant.

.Expulsion
WiPDaF e. V. reserves the right to expel any participant in special cases, such as non-payment, lack of regular attendance, or massive disruption of a course. In these cases, the participant has to pay all cancellation costs mentioned above. This will be treated as a cancellation after the beginning of a course.
Visa
If the participant needs a visa to enter Germany, he or she can obtain a confirmation from WiPDaF e. V. regarding the intended course participation after the course has been paid in full.
If the visa application is rejected, thus making it impossible for the participant to attend the course, the usual conditions regarding cancellation apply. In this case, WiPDaF e. V. requires written proof that the visa application has been rejected.
Certificates of attendance
Certificates of attendance are issued only if the participant has attended the course regularly and frequently enough to reach the required number of lessons necessary to qualify for a certificate. This number is set for each course and communicated to the participants at the beginning. If a participant does not attend a sufficient number of lessons, he or she is not entitled to a certificate.
Arranging for private accommodation
If a participant would like private accommodation, WiPDaF e.V. will try arrange this for a fee of EUR 50 per accommodation; however, we cannot guarantee success in this endeavor.
The usual rent is between EUR 300 and EUR 450 per month for what is in most cases a room with a host family or a shared flat, including the use of a kitchen but without board. In some cases, a deposit has to be paid about which the landlord will inform the participant in advance.
Any rights and obligations resulting from the rental contract are a matter directly and exclusively dealt with by the landlord and the participant (tenant). WiPDaF e.V. precludes any liability in case of non-performance or improper performance.
If you would like to task WiPDaF e.V. with the arrangement of private accommodation, this can be done by mail, by e-mail (sprachkurse@wipdaf.de), or during a personal visit to our office. On receiving an e-mail confirmation from WiPDaF e.V., a contract for such an arrangement is made.
The brokerage fee of EUR 50 becomes due upon signing the rental contract and must either be transferred to WiPDaF e.V.‘s bank account (WiPDaF e.V.; Sparkasse Münsterland Ost; IBAN DE47 4005 0150 0000 3794 53; Swift-BIC: WELADED1MST) or paid in cash at WiPDaF e.V.‘s office.
Furthermore, the participant is obliged to make a down payment of EUR 350 towards the first month of renting. This amount must be paid on the day of the completion of the brokerage contract and must either be transferred to WiPDaF e.V.‘s bank account (WiPDaF e.V.; Sparkasse Münsterland Ost; IBAN DE47 4005 0150 0000 3794 53; Swift-BIC: WELADED1MST) or paid in cash at WiPDaF e.V.‘s office.
This down payment will be forwarded to the landlord whose accommodation has been reserved for the participant. If the rental contract is not completed due to circumstances within the responsibility of the participant, the down payment will not be refunded; any claims regarding a refund must be communicated directly to the landlord. WiPDaF e.V. is only liable for violations of the stipulations of the brokerage contract, subject to the liability conditions below.
Liability
In order to attend any courses held by WiPDaF e. V., a participant’s physical and mental state must be adequate. Participants are under the obligation to make sure that this is the case. If it is doubtful whether a participant is able to fulfill this condition, he or she is obliged to inform WiPDaF e. V. of this immediately.
WiPDaF e. V. accepts no liability for damages resulting from accidents, damages to or loss of items, theft or similar causes unless the damages have been caused intentionally or through gross negligence on the part of WiPDaF e. V., its representatives or its agents.
This does not apply to the liability for damages resulting from injury to life, body and health or to damages resulting from a breach of a material contractual obligation, i.e. an obligation resulting from the nature of the contract whose violation would jeopardize the achievement of the purpose of the contract. In this case, however, WiPDaF e. V.’s liability is limited to the reimbursement of the foreseeable and typically occurring damage.
Final Provisions
Any changes of or amendments to these terms and conditions must be in writing to become effective.
If a provision stated in these terms and conditions is or becomes legally invalid or if there is any gap that needs to be filled, the validity of the remainder of the agreement shall not be affected thereby. Invalid provisions shall be replaced by common consent with such provisions which come as close as possible to the intended result of the invalid provision. In the event of gaps such provision shall come into force by common consent which comes as close as possible to the intended result of the agreement, should the matter have been considered in advance.
